Use this checklist before an ERP vendor begins configuration. It turns “implement the ERP” into a series of decisions your factory can own.

Scope and ownership

  • Name the first workflow and completion result.
  • Assign a business owner and a decision-maker for every department involved.
  • Record the normal flow, approvals, and high-frequency exceptions.
  • List reports used to approve production, stock, dispatch, and cash decisions.

Data readiness

  • Give every item a stable code, type, and default unit.
  • Define purchase, stock, production, and sales UOM conversions.
  • Confirm HSN, GST, GSTIN, addresses, and payment terms.
  • Approve current BOM or recipe versions and yields.
  • Count stock by item, location, batch, and actual UOM.
  • Close stale orders and identify the open work that moves.

Configuration and controls

  • Set document numbering, warehouses, stages, work centres, and quality points.
  • Give users the minimum roles required for their daily work.
  • Define who can approve, cancel, backdate, change rates, or release stock.
  • Configure mobile or shop-floor steps with the actual operators.

Testing, training, and cutover

  • Test one ordinary order plus partial, rejected, returned, and substituted cases.
  • Reconcile quantities, values, GST, order balances, WIP, and reports.
  • Train each role using a real factory example.
  • Freeze old operational files and record the final transaction time.
  • Import and sign off opening totals.
  • Complete one live workflow and review adoption daily for the first week.
